
How to Build a Monthly Client Billing Checklist
A repeatable billing checklist at the end of every month means no missed hours, no invoice surprises, and no chasing your own data.
Why Month-End Is Where Money Disappears
You tracked your hours. The data is in there somewhere. But when it is time to invoice, you spend an hour pulling things together, second-guessing entries, and wondering if you missed anything.
The problem is not bad time tracking. It is no process around billing close.
A checklist fixes that. Not because checklists are exciting, but because billing is the one place where forgetting a step has a direct dollar cost.
The Checklist Has Four Sections
Keep it simple. Four sections, done in order, every month.
One: Verify all time entries are logged and categorized.
Before you generate a single invoice, make sure there are no floating entries sitting in your tracker without a project or client attached. In Time-Trak, entries without a project assigned show up quickly when you filter your time log. Go find them and fix them. Unattached hours do not make it onto invoices.
Also check for entries marked as billable that should be non-billable, and vice versa. This is faster than it sounds. You are looking for obvious errors, not auditing every line.
Two: Check rates against current agreements.
Rates change. Clients get custom rates. Projects start mid-month at a new rate. Before you generate invoices, spot-check that the rate on each project matches what you actually agreed to charge.
If you updated a client rate this month, confirm the new rate applied to entries after the change date and the old rate applied to entries before it. Time-Trak lets you set rates per project, which makes this easier to confirm.
Three: Flag anything that needs a conversation before invoicing.
Some months have hours you are not sure how to handle. A task that ran longer than expected. A scope question that never got resolved. Work done during a client delay.
Do not invoice these hours without thinking them through. Flag them, decide how to handle each one, then proceed. This is the step that prevents invoice disputes later.
Four: Generate, review, then send.
Generate the invoice draft. Read it before you send it. Check that the total matches your time report. Check that the billing period is correct. Check that nothing obvious is missing.
This review takes three minutes. It catches the errors that make clients ask questions you do not want to answer.
Build the Checklist Into a Recurring Reminder
A checklist only works if you run it. Set a recurring calendar reminder for the last business day of every month called Billing Close. Block thirty minutes.
That thirty minutes includes pulling the time reports, running the checklist, and sending invoices. If you have three or four active clients, that is a realistic window.
If month-end billing takes you longer than an hour, something in your tracking setup is off. Either entries are not being logged consistently during the month, or your project structure is too tangled to report cleanly.
What to Do When You Find Missing Hours
You will sometimes finish the checklist and realize you forgot to track two hours last Tuesday.

Do not adjust other entries to compensate. Log what actually happened and let the record reflect reality.
