The Client You Quote Differently Every Time You Talk

If your rate changes depending on the conversation, your logs already show why that's costing you.

Some clients get your real rate. Some get the rate you invented on a Tuesday because the call felt casual and you didn't want to lose the work. By the third project, you have no idea what you actually charge them anymore.

This isn't a pricing problem. It's a tracking problem.

The Rate Drift Nobody Admits

It starts small. You quote a little lower on project two because the first one went fast. You throw in a couple of hours on project three because the client seems stretched. You discount the rush job because you felt guilty charging extra.

None of this gets written down anywhere useful.

Your invoices go out. The client pays. Life moves on. But six months later, you genuinely cannot tell what you charge this person or why. You're just guessing forward from wherever you left off.

That's not a rate. That's a feeling.

What a Time Log Actually Captures

When you track every session against a specific client and project, something useful happens. You can look back. You can see how many hours went into each phase, what the work actually cost you in time, and what you invoiced against it.

If you're using Time-Trak, every entry is stamped and tied to a project. You're not piecing this together from memory. The data is already there.

Pull up any completed project and divide the invoice total by the hours logged. That's your effective rate. Now do it for every project you've done for this client.

If the number bounces around, that's the problem made visible.

Why Inconsistency Hurts You More Than Low Rates

A low rate, applied consistently, at least lets you plan. You know what you need in volume to hit your income targets. You can make decisions from there.

An inconsistent rate does something worse. It means you're negotiating against yourself on every project without realizing it. The client doesn't even have to push. You're already discounting in your head before you open your mouth.

It also makes invoices feel uncertain. If you're not sure what you charge, you'll write invoices that look uncertain too. Vague descriptions, rounded numbers, totals that don't trace back to anything clean. Clients notice this, even if they don't say it out loud.

The Fix Is Boring But It Works

Decide what you charge this client. Write it down somewhere connected to their project file, not just in your memory. Set that rate in your time tracker before you log a single minute.

In Time-Trak, you set billing rates per project before work starts. That means when you go to generate an invoice, the math is already done. Hours times rate, clean and auditable. You're not doing arithmetic under pressure at the end of a billing cycle.

When a client asks for a new project, you go back to the rate you already set, not the mood you're in that day.

What This Does for Scope Creep Too

Here's the secondary benefit. When you have a locked rate and a tracked log, scope creep becomes visible in a way it never was before.

If a client adds work mid-project, you can show them exactly how many hours that addition took. The rate is already defined. The calculation is automatic. The conversation shifts from "is this fair" to "here are the numbers."

You're not guessing what to charge for the extra work. You tracked it. The answer is already in the log.

Stop Quoting From the Conversation

The next time a client reaches out for project three, four, or five, don't let the tone of the call set the rate. Look at what you charged before. Look at what you logged. Let the data make the decision instead of the moment.

Consistency isn't just about professionalism. It's about building a practice where the numbers mean something from one project to the next.

Your logs can get you there. But only if you're actually keeping them.

Track your time, bill every minute.
